1. Who we are

This Privacy Policy explains how Kelvanis Ltd ("Kelvanis", "we", "us", "our") handles personal information in connection with this website, located at kelvanis.com (the "Site"). Kelvanis Ltd is the data controller responsible for the personal information described in this policy.

This policy covers the Site only. It does not cover personal information processed within the Kelvanis Hub platform itself once a customer agreement is in place — that processing is governed by the data processing terms agreed with each customer.

2. Information we collect

The Site collects personal information only when you choose to provide it, through the contact form on the Contact page. The fields on that form are: name, company, role, country, the industry line you're interested in, and your message.

We do not use analytics, advertising, or tracking cookies anywhere on the Site. The only browser storage the Site uses is a single, non-personal preference — whether you've selected light or dark display mode — held in your browser's local storage. This preference never leaves your device and is not accessible to us.

3. How the contact form works

When you submit the contact form, your browser opens a pre-filled email addressed to [email protected] using your own email application. The information you entered is sent as an ordinary email, from your own email address, through your own email provider — it is not transmitted to or stored on a Kelvanis server as part of that submission.

This means the copy of your enquiry that we hold is the email you send, in the same way as if you had emailed us directly. It is retained in our mailbox for as long as reasonably necessary to respond to your enquiry and for our general business record-keeping, and is handled with the same care as any other business correspondence.

4. Why we process this information

We use the information you submit solely to respond to your enquiry — for example, to get in touch about a demo, answer a question, or follow up on a partnership enquiry. We process this information on the basis that it is necessary for our legitimate interest in responding to enquiries directed to us, and, where your enquiry leads to a further discussion about a potential contract, in taking steps at your request prior to entering into that contract.

5. Sharing your information

We do not sell personal information, and we do not share it with third parties for their own marketing purposes. Because contact form submissions are sent as email rather than stored on our infrastructure, the only "third party" involved in a submission is your own email provider, over whose systems we have no control.

We may disclose personal information where required to do so by law, regulation, or a valid legal process.

6. International transfers

Because enquiries are sent by email rather than processed through a Kelvanis server, where your information travels depends on your own email provider's infrastructure, not ours. If we later introduce a hosted contact-form backend, we will update this policy to describe where that data is processed and what safeguards apply.

7. Your rights

Depending on where you are located, you may have rights to access, correct, delete, or object to our processing of your personal information, and to request a copy of it in a portable format.
